How to Get In Network With Aetna in California: Request, CAQH, Contract, and Availity
Aetna is one of the most common commercial cards in California private practice. The process has four clear stages, and the one most people confuse is where Availity fits in.
To join Aetna as a California therapist, you submit Aetna’s online request for participation (medical and behavioral health, individual Type 1 NPI), then make sure your CAQH profile is complete and authorizes Aetna. Aetna reviews network need in your area and says it decides within 60 days; if the panel is open and it wants to contract, a network manager contacts you. Contracting and credentialing both have to finish before you’re in network. Availity is Aetna’s portal for day-to-day work (claims, eligibility, authorizations, updates) after you join, not where the request to join starts.
Where Availity fits (and where it doesn’t)
A lot of therapists, me included, think of Aetna as “the Availity one,” because once you’re contracted, Availity is where you do almost everything. Aetna calls Availity its one-stop portal for submitting claims, getting authorizations and referrals, checking benefits and eligibility, uploading records, filing disputes and appeals, and updating your information.
The request to join starts somewhere else: Aetna’s Join the Aetna network page and its online request for participation form (Aetna has called this the Provider Onboarding Center). Set up Availity early so it’s ready, but don’t wait for an application to appear there.
Aetna’s four-step process
Aetna lays it out plainly on its join page:
- Request participation. Complete the online request for participation. Behavioral health professionals use the medical and behavioral health request. Each clinician needs their own request under their individual (Type 1) NPI, and Aetna says a separate application is needed for each provider in a group.
- Aetna evaluates network need. Aetna reviews whether it needs your services in your area and decides whether contracting and credentialing are required. It says it makes a decision within 60 days. If the panel is open and Aetna wants to contract, a network manager contacts you; if not, you get a denial letter or email.
- Contracting, then credentialing through CAQH. After contracting, Aetna pulls your credentialing application from CAQH ProView. You must designate Aetna as an authorized health plan in CAQH.
- Welcome. When credentialing is complete, Aetna finalizes your contract and sends welcome materials.
Get CAQH right before you submit
Aetna’s joining FAQs say it uses CAQH ProView to credential all health care professionals. A few practical points:
- Finish and attest CAQH first. If you aren’t registered, Aetna says to watch for a registration kit within 10 business days of your request. If you’re already registered, Aetna says you won’t get any other correspondence about it, so just make sure Aetna is authorized.
- Errors come back to you. If verification turns up an error, Aetna tells you, and you correct it with the reporting source (for example, your licensing board or malpractice carrier).
- CAQH is now DataSpring. CAQH rebranded as DataSpring in June 2026; same login and profile. My CAQH guide walks through setup.
Credentialing and contracting are separate
Aetna is explicit that credentialing and contracting are different processes and both must be complete before you’re a network provider. When credentialing finishes you get a written notice, and your network contact helps finish the contract. Don’t see Aetna members as in network until you have a countersigned contract and an effective date.
Aetna’s credentialing verification organization is NCQA- and URAC-accredited, which is why it verifies education, license, and history directly with the source. Keep your license, malpractice, and work history consistent everywhere.
Checking status and getting help
- Status (California and every state except Missouri): Aetna says to call customer service for medical and behavioral health at 1-800-353-1232.
- Network questions: medical and behavioral health 1-888-632-3862; Medicare Advantage 1-800-624-0756.
- Keep your request ID. If you have to stop partway, you’ll need it to resume or to ask about status.
Timelines vary. Aetna commits to a decision on the request within 60 days, but contracting and credentialing take additional time, and a closed panel can end the process at step 2.
After you are in network
- Register for Availity (or get a username from your practice’s Availity administrator) and learn the Aetna payer space.
- Verify eligibility and benefits for every new client in Availity before the first session.
- Check whether authorization is required for what you plan to provide. Rules differ by plan, so check each time.
- Keep your directory data current through Availity’s provider data tools.
- Read Aetna’s behavioral health provider manual. It sets documentation and claims rules.
Aetna’s FAQs say its standard contract generally includes Aetna plans, and to ask your network rep which plans you accept. Bill only for what you legitimately provide and document.
Associates and other ways in
Associates: Aetna’s request process is built around a licensed professional’s individual NPI, so associates don’t join on their own. Aetna does allow supervisory billing for license-eligible clinicians who are completing their hours under regular supervision, but only in network: the supervisor must be independently licensed, credentialed and contracted with Aetna, and employed by the same group, and the claim lists the licensed supervisor as the rendering clinician. Virtual supervision is allowed (Aetna Provider Education Bulletin, Fall 2024). Confirm it applies to your contract in writing. See Can associates bill insurance in California?.
Headway and Alma: Headway says its clinicians accept Aetna, and its California city listings (for example, its Hayward page) show Aetna as the most common plan among its therapists. Headway credentials you under its own agreements, so you don’t go through Aetna’s panel decision yourself. If that fits, here is my Headway referral link.
Referral disclosure: I may receive a referral reward if you sign up through my Headway link. It costs you nothing extra, and you get the same help from me either way.
Alma is another option, and a direct Aetna contract gives you your own agreement. Compare them in Headway vs. Alma vs. direct insurance. Anthem also uses Availity, for applications as well as day-to-day work; see my Anthem Blue Cross guide.
Rules change. Everything here is general business education for California therapists as of October 2026, not legal, tax, or billing advice. Networks open and close, acceptance is never guaranteed, and timelines vary. Confirm current requirements with the plan (in writing) before you act.

Frequently asked questions
Do I apply to Aetna through Availity?
Not for the initial request. Aetna’s join page uses an online request for participation form. Availity is Aetna’s portal for claims, eligibility, authorizations, and updates once you’re contracted.
How long does Aetna take to respond?
Aetna says it decides on a request to join within 60 days. If it moves forward, contracting and credentialing take additional time, and timelines vary.
Can my group apply as one application?
No. Aetna says a separate application is needed for each provider in a group, using each clinician’s individual (Type 1) NPI. Its facility form is only for Type 2 facility NPIs, and Aetna says it automatically denies Type 1 group requests sent through that form.
What if Aetna says the panel is closed?
Aetna notifies you by letter or email if the panel isn’t open or it doesn’t intend to contract. You can ask what would change the decision, reapply later, or consider a platform such as Headway or Alma.
How do I check my Aetna credentialing status in California?
Aetna says providers outside Missouri should call 1-800-353-1232 (medical and behavioral health). Have your request ID ready.
