Planning your private practice as an associate

You're still collecting hours, but you're already thinking about what comes next. Good. The best time to plan a practice is before you're licensed, not the week after.
This page is about planning, not legal advice. BBS rules for associates are specific and they change, so anything here should be checked against current BBS rules.

What associates usually worry about

  • "Am I even allowed to work in private practice yet?"
  • "Can I be a 1099 contractor, or do I have to be an employee?"
  • "Can I advertise myself?"
  • "How long after licensure until I can actually see my own clients?"
  • "I don't want to make a mistake that delays my license."

What associates can and can't do in private practice

Confirm current BBS rules. This is general education, not legal advice.

Supervision

Associates in California generally work under a qualified supervisor and within an employer's practice. Your supervisor and supervision setup have to meet BBS requirements for your hours to count. Confirm current BBS rules for supervisor qualifications, ratios, and documentation.

W-2 vs. 1099

Associates are generally expected to be employees (W-2) or, in limited settings, volunteers, not independent contractors with their own practice. Being paid as a 1099 contractor can create problems for both you and the practice. Confirm current BBS rules and check with a CPA or employment attorney before accepting a 1099 arrangement.

Advertising

Associates generally can't advertise an independent practice of their own. When you're listed by an employer, the listing typically needs to show your associate status, registration number, and other required details. Confirm current BBS rules before you create any directory profile or website.

Seeing clients directly

Associates generally can't set fees, collect payment directly, or hold clients as their own. Those things run through the employing practice. Confirm current BBS rules.

Your step-by-step plan

  • Map your hours. Know exactly where you are on each hour category and what's left.
  • Confirm your supervision is set up correctly. Paperwork, supervisor qualifications, and logs that will hold up. Confirm current BBS rules.
  • Pick an exam window. Work backward from your target licensure date.
  • Sketch a launch timeline. What happens in the 3–6 months before licensure, and in the first 90 days after.
  • Decide your likely payment model. Cash-pay, a platform like Headway or Alma, direct insurance contracts, or Medi-Cal. You don't have to choose yet, but knowing the options changes your planning.
  • Start a savings cushion. Licensure is often followed by setup costs and a slow first few months.
  • Learn the entity question early. In California, licensed clinicians generally practice through a Professional Corporation, not an LLC. Confirm with a California business attorney.
  • Think about address and privacy now. Once you get an NPI and file business paperwork, your address can become public. Plan for a professional address before you file.
  • Book a free planning call 3–6 months before licensure.

Common expensive mistakes

  • Accepting a 1099 associate position without checking whether it fits BBS rules.
  • Advertising too early or without required associate disclosures.
  • Filing an LLC for a future therapy practice, then having to unwind it.
  • Using your home address on your NPI or business filings, then spending time and money trying to get it removed.
  • Waiting until after licensure to plan, then losing months of income while paperwork catches up.
